Cancellation Policy
At Guidefriend, we aim to provide reliable and memorable experiences while ensuring fairness for both our customers and local guides. This Cancellation Policy explains the terms regarding cancellations, refunds, and booking changes.
1. Booking Confirmation
Before any payment is requested, Guidefriend or the assigned guide will contact the customer to confirm all tour details, including the itinerary, availability, meeting point, price, and any special requests.
Once the details are agreed upon, a secure payment link will be sent via email. A booking is considered confirmed only after the full payment has been successfully received.
2. Customer Cancellation Policy
Customers may cancel their booking up to 72 hours before the scheduled tour start time and receive a 100% refund.
Cancellations made less than 72 hours before the scheduled tour start time are non-refundable.
3. Cancellation by Guidefriend or the Guide
If Guidefriend or the assigned guide needs to cancel a confirmed tour, the customer will receive a 100% refund of the amount paid.
4. Weather Conditions
If a tour cannot proceed due to severe weather conditions or safety concerns, Guidefriend will first try to offer an alternative date or a suitable solution.
If the tour cannot be rescheduled or the customer does not accept the alternative option, a 100% refund will be provided.
5. No-Show Policy
If the customer fails to appear at the agreed meeting point at the scheduled time, the booking will be considered a no-show.
No refund will be provided in case of a no-show.
6. Late Arrival Policy
Customers are expected to arrive at the agreed meeting point on time.
The guide will wait for up to 30 minutes after the scheduled start time. If the customer arrives more than 30 minutes late, the tour may be shortened, modified, or considered a no-show depending on the guide’s availability.
No refund will be provided in such cases.
7. Force Majeure
In cases of circumstances beyond the control of the customer, Guidefriend, or the assigned guide, such as natural disasters, political events, or major travel disruptions, each situation will be reviewed individually.
Guidefriend will make reasonable efforts to find the most suitable solution for all parties involved.
8. Refund Processing Time
Approved refunds will be processed within 7–14 business days, depending on the payment provider and the customer’s financial institution.
9. Payment Processing Fees
For eligible refunds, any non-refundable payment processing fees charged by the payment provider may be deducted from the refund amount.
10. Tour Modifications
Requests to modify a confirmed booking, including changes to the tour date, itinerary, or tour details, are subject to availability and may be subject to additional charges.
11. Cancellation Requests and Communication
Customers may submit cancellation requests, modification requests, or other inquiries through any available communication channel.
Guidefriend will review and respond to such requests as soon as reasonably possible.
By booking a tour with Guidefriend, customers acknowledge and agree to the terms outlined in this Cancellation Policy.
